Setup & install

Do I need to know how to code?

No. You need to be comfortable copy-pasting API keys, clicking through OAuth screens, and importing a JSON file into n8n. If you have installed a Shopify app or connected Mailchimp to your site, you can install this. Our quick-start is 10 minutes to first draft; the full install is 30–45 minutes.

How do I actually install it?

After purchase you receive a ZIP with four workflow JSON files, a prompt pack, an install guide, and a test checklist. You import the JSON into your n8n instance, connect your Gmail or Outlook credentials and your Sheets or Airtable credentials, drop in your OpenAI or Anthropic key, and run the test checklist. Workflow 4 handles reply-state sync in the background once you go live.

Gmail or Outlook — does it matter?

Works with both. Same feature set, same behavior. Pick whichever inbox your business actually uses.

Do I need Airtable, or can I use Google Sheets?

Either works. Sheets is simpler to set up. Airtable has slightly nicer filtering and views for a lead pipeline. Both are included — you pick during install.

What version of n8n do I need?

n8n 1.50 or later. Works on n8n Cloud and self-hosted. If you have an older version, upgrading is straightforward.

How it works

Will it send emails to my customers without me seeing them?

No. Every workflow creates drafts. Drafts sit in your Drafts folder until you review and send. Auto-send is a deliberate switch you flip later, for specific follow-up stages, if you ever choose to. The kit ships with auto-send off — and most buyers leave it off forever.

What does it actually do?

Three things. (1) Watches your inbox for quote requests, classifies them, logs each one into your lead log with parsed fields, and writes a polite draft reply in your voice. (2) Walks your lead log on a schedule and writes 24h / 48h / final follow-up drafts for threads that went quiet. (3) Emails you a single daily owner digest at 7 AM that tells you exactly what needs your attention.

Will it invent a quote or promise a price?

No. The reply drafter is explicitly prompted to ask for the one piece of information you need to quote (lot size, photos, frequency, scheduling window). It never quotes a price and never promises availability — both of those remain your call.

How does the AI decide what is a real lead versus spam?

A small classifier step reads the subject and body of each new email and labels it as lead, current-customer question, vendor, newsletter, billing, internal, or other. Real leads and ambiguous ones are logged; obvious noise is ignored. You can tune the classifier prompt in one file if it ever misses.

What about replies from customers who already bought?

The classifier routes current-customer messages into a separate path. You can either (a) leave them alone, (b) have the kit draft a short acknowledgment, or (c) tag them in a second Sheet/Airtable view. This is configurable at install.

Safety & data

Is my customer data safe?

The classifier and drafters send the email content to the AI provider you configure (OpenAI or Anthropic). Nothing else leaves your systems. No Tetrad Systems server ever sees your customer data. We built it this way on purpose — if we do not host it, we cannot leak it.

What if the AI writes a weird reply?

You see it as a draft. You delete it. Worst case equals a draft you did not send. No customer ever sees AI output unless you review and click send.

Can I edit the prompts?

Yes — they are plain text files. If the tone feels off, the kit calls it "your voice" and you can literally edit the voice guide in one file. Change takes effect on the next email.

Does this store any customer data outside my own systems?

No. All leads live in your Sheet or Airtable. All emails live in your Gmail or Outlook. All credentials live in your n8n. We do not have a database of your customers. We do not want one.

What happens if n8n goes down?

Your inbox keeps working normally. No drafts get created while n8n is down; as soon as it comes back up, the next new email triggers the workflow again. Nothing is lost.

Buying & pricing

Is this a subscription?

No. One-time purchase. You own the workflows forever. Ongoing costs are n8n hosting (~$20/mo or self-hosted on a $5 VPS) and AI usage (typically $1–$5/mo).

Which tier should I buy?

Pro fits most landscaping businesses. Starter if you are solo with one inbox. Team if you run multiple crews and want a live install-assist call.

Is there a refund policy?

Yes. 14-day window. If we cannot get it working for you together, you get your money back.

Can I share this with my business partner?

Yes — inside the same business. Up to the inbox count on your tier. You may not resell or redistribute. See the Terms & License page.

Can I upgrade tiers later?

Yes. Email us and we credit what you already paid.

Fit & compatibility

Does this work for businesses other than landscaping?

The prompts, classifier categories, and templates are tuned for landscaping and related outdoor-services work (mowing, cleanups, installs, hedge trim, snow removal). You could adapt it for another trade, but we are starting here on purpose. Niche kits for other trades are on the roadmap.

Does it work with Jobber, Service Titan, or Housecall Pro?

Out of the box the kit logs to Google Sheets or Airtable. For Jobber, Service Titan, or Housecall Pro you would swap the CRM node in n8n. Pre-built adapters are on the roadmap but not in v1. If you need one now, email sales.

What about Canadian / UK / Australian businesses?

Works fine. English-only templates, US phone formatting by default. Small edits to the templates and you are set.

Who is this not for?

People who want a no-code SaaS with a login, a dashboard, and a CSM. This is a kit of workflows you import and own. If you do not want to touch n8n at all, this is not the right product.

Post-purchase & support

What does support look like?

Email within 2 business days (1 business day on Team). We dig into your node screenshots, your n8n version, and the change you just made. We do not run your instance for you.

What if n8n changes their API?

The workflows target n8n 1.50+. Minor n8n updates rarely break imported workflows. If a major break happens, we ship updated JSON for the core v1 kit at no extra cost.

What is on the roadmap?

Pre-built CRM adapters (Jobber, Housecall Pro, Service Titan), niche-specific kits for other trades, optional SMS drafts via Twilio, and deeper quoting / CRM handoff helpers. No dates promised.

How do I keep the kit updated?

We email Pro and Team buyers when we ship updated workflow JSON for v1. Updating is re-importing the JSON — your credentials and data stay put.
